JOB DESCRIPTION:
Administrative Assistant

ACCOUNTABILITY:
This position is responsible for providing administrative support to a department or function.
ESSENTIAL DUTIES AND RESPONSIBILITES:
- Provide administrative and project support to construction Project Managers including maintaining calendars, travel arrangements, routine written correspondence
- Assist with roll-out of new procedures by communicating with appropriate personnel and monitoring, where possible, to ensure that procedures are implemented
- Assist Project Managers in preparing Owner Change Orders and Subcontractor Change Orders
- Assist Project Managers with subcontractor bidding process and assist with preparation of estimates
- Prepare subcontractor purchase orders
- Track and follow-up on all pertinent information with the subcontractors and clients
- Proofread written documents for spelling, grammar and accuracy
- Produce meeting minutes/agendas for sub-contractors and owner meetings when required
- Copy, fax and distribute business correspondence
- Maintain spreadsheets and reports in Excel and MS Project
- Establish, organize and maintain filing systems
- Perform administrative functions such as data entry, typing, copying, faxing and filing
- Assist in Accounts Payable support for the department
- Train administrative assistants on company policies and job requirements
- Develop and suggest ideas to improve administrative procedures and streamline processes
MINIMUM DESIRED QUALIFICATIONS:
- Typically requires at least three years of administrative experience in construction or architecture related business
- Must possess the ability to organize, prioritize and manage and complete multiple tasks
- Must possess effective oral and written communication and interpersonal skills
- Requires the ability to read, analyze, and interpret business correspondence and reports
- Requires the ability to write reports and business correspondence
- Must have a strong working knowledge of MS Office including strong skills in Microsoft Office Suite, internet based software applications and internal project management software
